Code of Conduct.

Expectations of Gymnasts

Gymnasts must wear appropriate attire for training. A comprehensive list of what is and isn't appropriate will be given in all registration packs and can be requested from the coaching team at any time. The coaching team has the right to refuse entry into their sessions on the grounds of health and safety if gymnasts are not suitably dressed.
Gymnasts should respect the facilities, equipment, coaching staff and other participants at all times in the gym. This includes inappropriate use of language. 
Mystics has a zero tolerance policy to bullying. Any gymnast displaying bullying behaviours will be subject to the clubs disciplinary procedure. (see handbook for further information.)
Gymnasts should not leave the gym without their coaches permission. 
It is the responsibility of the gymnast to inform their coach of any injury or illness at the start of the session. Gymnasts should arrive in a fit state to meet the demands of the training session. Training while ill can have a negative impact on the gymnasts well being and spread illness throughout the gym. 

Expectations of Parents

Encourage your child to learn the rules and participate within them.
The gym can be a very busy place and in order to maintain a safe training environment, parents are not permitted inside without the permission of the head coach.
Always ensure your child is appropriately dressed for the activity and has plenty to drink. Drinks should be in sports bottles only.
Always collect your child promptly at the end of the session. Please be mindful that our coaches teach sessions back to back so prompt collection of your child is vital. If for any reason you will be delayed please let the coach know at the start of the session.
Share any concerns or complaints about any aspect of the club through the appropriate channels. 
You should not post or discuss negative comments about the club, its coaches or members on social media sites.


IGA Code of Conduct 

Payments
 Courses, Camps, Workshops & Displays.
All payments must be made by the requested date upon booking.
 Failure to make payment by the requested date will result in the gymnasts being denied entry to their session until payment has been received. 
Late payments will incur an additional administrative charge. 
In instances where payment has been requested repeatedly, the gymnasts space will be offered to the wait list where appropriate. 

Competitions
Competition fees must be paid prior to the event taking place, unless otherwise specified. 
Gymnasts will not be entered without the club receiving their entry fee when booking. 


Refunds

All Mystics courses, camp days and workshops are non refundable or transferrable between gymnasts. 
Refunds will not be issued for any missed sessions due to holiday/sickness.
If you choose to leave the club at any point, any remaining sessions will not be refunded.
Refunds will only be issued in circumstances where the gymnast is unable to attend sessions due to serious injuries (e.g broken bones) or in extreme medical circumstances.
To process the refund the club will need a letter from a doctor stating the nature of the injury and how long the gymnast will be out of training. 
A refund will then be processed for these missed sessions.   


Photography

A photography consent form will be issued as part of our registration process.
We may use photography for the purposes of promotion of the club or to publicise events. This may include the clubs website, social media, newspapers or magazine articles, leaflets and newsletters.
We will not publish any images or videos without written consent from the gymnast concerned, or in the case of a child their parent/guardian. This is gained as part of our registration process.
Personal information about the individual other than their name and club/class will not accompany any image published.
You may withdraw consent at any time. If you choose not to the club will retain all images and videos for a maximum of two years. After that period is up, images will be reviewed and deleted unless they are considered to be of importance to the club. In this case they will be retained in our archive.

Communication

If there are specific issues we need to communicate we will email, phone or distribute a newsletter.
Parents/Guardians must not try to speak to a coach who is actively coaching. If the coach you wish to speak to is unavailable, please email.
All coaches have club email addresses and parents/guardians are encouraged to use email communications. We will do our best to reply within 24 hours.
The mobile telephone numbers of our head coaches are available for urgent communications only. Please respect the privacy of our coaches by adhering to this policy, especially texting and calling these numbers outside of working hours. Please refrain from contacting coaches outside of their working hours, especially in the evening after 20:00.

Medical conditions/Disabilities.

Any medical condition, learning difficulty, disability or attention disorder must be disclosed on the registration form. Parents/guardians should also speak to the lead coach to ensure all coaches are aware of any adaptations/risks that may need to be considered.
Some medical conditions require a parent/carer to be present during the session in case administration of medication is required (E.g Epipen).
Participants with a disability who require one to one support will need to provide a carer who will be led by the coaches within the class.
Gymnasts with Downs Syndrome will require an atlanto-atlas screening, and letter from physician prior to starting any classes.

IGA Jewellery Policy

Jewellery/ Newly pierced ears.

Jewellery must not be worn under any circumstances whilst in the gym. This is for the safety of both the gymnasts and the coaches.
Please ensure that newly pierced ears are covered with micropore tape. This can be obtained from any chemist or large supermarket.
 It is not the coaching teams responsibility to provide tape. 
If the earrings are not covered your child will not be permitted to participate in the class.
Please inform your child's coach when they attend their next class following the piercing. You will then be asked to sign a declaration form confirming the date the six week healing process ceases.

Safeguarding

All of our coaches are trained in safeguarding and are DBS checked.
The safety and welfare of children and vulnerable adults is a primary concern for Mystics.
If any of our members, parents/guardians has any welfare concerns, they should contact the clubs welfare officer  at welfare@mysticsclub.uk 
who will then investigate and work to implement any resolutions. 

In order to effectively investigate and resolve any issues raised, we expect members and parents/guardians to maintain confidentiality around any welfare investigations.
